Programme Administrator

Co-Founders is a programme that runs across 10 months of the year centred on bringing together people with ideas and ambition to create start-ups that could change the world. As a Programme Administrator you will play an integral role in supporting the programme team in the administrative and logistical aspects of the programme.  In addition, you will bring your creative capabilities to play in the production of materials to support programme delivery and take responsibility for building the Co-Founders community through the delivery of mid-scale programme and alumni events.  This is an exciting role suitable for candidates with a creative outlook, impeccable attention to detail and organisational and time-management skills, who thrive on variety in their day-to-day.

 

Key Information

  • Contract – full time, permanent
  • Salary up to £25,000 depending on qualifications/experience
  • Based at the Innovation Centre, Queen’s Road, Belfast (hybrid working arrangement available)
  • Reporting to the Programme Manager
  • Closing Friday 4th November C.O.B

Responsibilities

Recruitment

  • Support the programme recruitment activities, including event organisation.
  • Plan and support recruitment event activity, including contacting guest speakers.
  • Participate in the shortlisting of programme candidates and interviews.

Events

  • Plan and support a range of events throughout the programme year, including alumni event activity.
  • Recording projected costs, budget tracking for event + submitting procurement/POs to finance.
  • Creation of event brief to meet programme manager’s aims and objectives, setting up task board on Monday.com with timeline.
  • Liaising with venue/catering for event planning, stage lighting/music set-up and marketing/suppliers for merch.
  • Liaising with staff volunteers to assign tasks, creation of staff role briefs and run of show outline for venue.
  • Liaising with teams/speakers to cover run of show, timings and to collect needed assets.
  • Collating RSVPs/dietary requirements for venue.
  • Set up of RSVP forms on Monday.com / liaising with Marketing if on Eventbrite

Core/Cofo+ Programme

  • Attend and support the delivery of the Hot House, Core Workshops, Pitch Evening and Co-Founders+.
    • Creation of weekly update graphics for slack.
    • Reviewing slide decs/documents to align with brand guidelines.
    • Design of programme schedule/handbook PDFs to meet brand guidelines + keeping these updated.
    • Creating team summary docs to share externally with judges/mentors.
    • Taking minutes and recording updates in Monday.com in interviews/progress reviews/coaching calls.
    • Management of Co-Founders mailbox, sending all outward facing emails to cohort and handling follow-up on document and information collation.
  • Maintaining filing system where issue is resolved and flag/categorise where relevant to a particular person.
    • Team support in ad hoc tasks e.g. slide deck formatting, writing copy for recruitment, completing detail in Monday.com boards.
    • Providing document support where needed e.g. for excel.
    • Co-ordinate the logistics for the programme including booking rooms, catering, and online meeting organisation.
      • Zoom meeting set-ups and break-out room management, recording attendance.
      • Set up of MS Bookings for team sessions (i.e. progress reviews, INI clinics, coaching)
      • Organisation of catering and set-up for in-person hosted activities.
      • Collating RSVPs/dietary requirements.
      • Any other reasonable duties within the remit of the role.

Essential Criteria

  • Experience of working in a fast-paced business environment in an administrative support role
  • Events management experience
  • Self-motivated and able to work on own initiative
  • Strong attention to detail
  • Proven team player
  • Exceptional time management and organisation skills
  • Ability to prioritise multiple demands and meet strict deadlines
  • Strong aptitude in Adobe/creative suite programmes, Canva, or other document design software, with evidence or examples
  • Proficient in all MS Office packages, particularly PowerPoint and Excel
  • Passionate about building community and supporting budding entrepreneurs

Desirable Criteria

  • Experience in the use of project management platform Monday.com
  • Previous experience working with building communities

Special Requirements

  • Proof of right to work in the UK
  • One evening per week and occasional working outside of normal office hours for programme delivery including circa two weekends of the year
